Refund & Rescheduling Policy

1. Overview & Policy Scope

At Sense Layer Hub Pty Ltd, our in-person masterclasses, technical workshops, and engineering audits require advance procurement of specialized components, allocation of dedicated laboratory workbenches in Dawson, and strict cohort size limits (maximum 6 to 10 attendees).

This policy outlines the rights and responsibilities of both parties regarding cancellations, rescheduling, deposits, and refunds in compliance with the Australian Consumer Law (ACL).

2. Workshop Registration & Deposit Terms

To reserve a workbench in any scheduled cohort, a 30% educational deposit is required upon confirmation of your registration. The remaining balance is payable 14 days prior to the first day of the workshop.

• Cancellation 21+ Days Prior: Full refund of deposit and tuition fees, less an administrative fee of $150 AUD.
• Cancellation 14 to 20 Days Prior: 50% refund of the total tuition fee, or 100% credit toward a future cohort within 12 months.
• Cancellation Under 14 Days Prior: Non-refundable due to pre-purchased consumables, lab bench allocation, and catering commitments. However, you may transfer your seat to a nominated colleague at no extra charge.

3. Free Rescheduling Policy

We understand operational priorities on mining facilities can change unexpectedly. You may reschedule your workshop attendance to any future available cohort date free of charge, provided notice is given at least 14 days prior to course commencement. Rescheduling requests received within 14 days are subject to a $250 AUD rebooking fee to cover perishable supplies.

4. On-Site Technical Feasibility Audits

For on-site engineering audits conducted at client premises across Australia:

• Audit cancellations made prior to travel ticket booking receive a full refund of any deposit paid, less a $200 AUD preparation fee.
• Non-refundable actual expenses incurred for regional flights, vehicle hire, or accommodation cannot be refunded if the client cancels within 7 business days of the scheduled site visit.
• Once on-site inspection work has commenced, audit fees are non-refundable as engineering labor and FLIR thermal logging have been delivered.

5. No-Shows & Medical Emergencies

Failure to attend a confirmed workshop without prior written notification ("no-show") results in forfeiture of 100% of the tuition fee.

In verified circumstances of severe illness, medical emergency, or regional natural disaster (e.g., bushfires or severe flooding in Victoria), Sense Layer Hub will waive cancellation penalties and grant a full educational credit valid for 18 months.

6. Cancellation or Postponement by Sense Layer Hub

If Sense Layer Hub is forced to postpone or cancel a workshop due to unforeseen instructor illness, facility power grid disruption, or minimum cohort requirements not being met, registered attendees will be offered:

• A full 100% refund of all tuition and deposits paid; OR
• Priority transfer to the next scheduled cohort date with a complimentary 10% credit toward future specialist seminars.

Sense Layer Hub is not liable for secondary travel or lodging expenses incurred with independent transport or hotel operators.

7. Refund Request Process & Timeframe

To submit a refund or rescheduling request, please email our administration office at hello@sense-layerhub.click quoting your student registration number and invoice reference.

Approved refunds are processed within 5 to 7 business days via direct electronic funds transfer (EFT) to the original Australian bank account or corporate payment source.
